A Distributor's Q4 Planning Calendar for Healthcare Accounts
Share
Healthcare clients usually start thinking about year-end gifts, recognition weeks, and winter outerwear at the same moment. That moment tends to come a few weeks after an embroidered order would have needed to start. If you put those dates on your calendar now, you can bring the ideas to clients early and still make every delivery date.
Here's what's coming between now and the new year, and when each order needs to start.
Start With the Embroidery Timeline
Every date in this post counts back from one number. Most embroidered orders from Scrub Authority ship within 12 days and deliver within 15 days. They ship ground only, so there's no faster option if an order starts late.
A few more details help when you're quoting Q4 orders:
- No minimums on embroidered items, so a 10-person practice orders gifts the same way a 500-person group does
- $60 one-time fee to digitize a new logo
- $8 per item for logo embroidery (up to 9,000 stitches)
- $5 per line of personalization, such as a name or title
- Free shipping on orders over $250
Add time for client approvals on top of the 15 days. If a client has to sign off on a logo, a color, or a gift choice, that has to happen before the order goes in.
National Nurse Practitioner Week: November 8 to 14
NP Week is the next profession week on the healthcare calendar. Clinics, urgent care groups, and health systems with NP staff often mark it with an embroidered jacket, vest, or bag.
To have items in hand by November 8, the order needs to be in by about October 24. That window is short, so reach out to clients with NP teams this week. Adding a personalization line with a name and the NP credential makes the gift feel made for the person who gets it.
Year-End Employee Gifts
Many healthcare organizations give employees a gift at the end of the year, and embroidered apparel is an easy fit. Pieces that work across roles include:
- Jackets and vests
- Outerwear and layering pieces
- Bags and accessories
For gifts handed out at a mid-December event, count back 15 days for delivery and add a few days for approvals. Getting orders in by mid-November leaves enough time for client approvals. A jacket with the practice logo keeps getting worn long after the holidays, which is part of why it works so well as a gift.
Colder Months and Layering
Once the weather turns, teams that walk between buildings, make home visits, or work in cool clinical spaces need layers. Outerwear in a client's approved colors keeps the team looking consistent on the way in and on the floor.
This also leads naturally into a second order. A client buying gift jackets may want the same piece available for new hires through the winter. You can browse outerwear and layering options across 20+ leading scrub brands (plus outerwear, etc.).
Plan Now for Early 2027
Q1 recognition dates come up fast after the holidays:
- Certified Nurses Day: March 19
- National Doctors' Day: March 30
Both are in late March, so starting to plan in mid-January gives clients time to pick items and approve logos without rushing. If you mention them during Q4 check-ins, the next order is already on the client's radar.
Order-By Dates at a Glance
- NP Week (November 8 to 14): order by about October 24
- Mid-December employee gifts: order by mid-November
- Certified Nurses Day and National Doctors' Day: start planning in January
Get Ahead of the Season
Q4 healthcare orders go most smoothly when you start the conversation before the client asks. See the full embroidery pricing and turnaround details on the embroidery page, then send your healthcare clients their order-by dates.
